The British Psychological Society is the representative body for psychology and psychologists in the UK. It is not a trade union but is a registered charity. Formed in 1901 it now has more than 45,000 members.

In Jan/Feb 2007 The British Psychological Society (BPS) established a partnership with payroll experts Moorepay to help the finance director, Russell Hobbs, handle the employee payroll so that he could focus more attention on strategic objectives. Outsourcing the payroll has given Russell more time to look at the long term objectives and make informed decisions about the future direction of the charity. This is particularly important for a charity like the British Psychological Society, as a clear set of objectives and business case is required to get funding and approval from key stakeholders.
The problem
The British Psychological Society has increased in size over the last 20 years from 50 employees to the 129 employees. With an HR team of two people and Russell, the sole financial advisor, it became important that Russell was freed from payroll duties so that his time could be invested elsewhere in order to get the most from him in terms of his knowledge and expertise. Originally, Russell had to key the payroll data into a computer manually and send it over to an external organisation that processed the payroll – this was still time consuming.
The solution
The decision was made to outsource the payroll process completely and impressed with their price and package, Moorepay were selected to manage this.
The changeover period was the main concern for BPS.
Russell says: “Payroll is vital to a charity, it affects everything and everyone so getting it right first time is fundamental.”
Having heard horror stories from other finance directors who have dealt with a payroll changeover, Russell feared the worst would happen.
However, Russell was extremely pleased with the handover and no problems arose: ”The transfer of data was handled really well. We had a point of contact throughout the changeover which was reassuring because we could ring that person directly with any problems or concerns that came to mind.”
Changing the payroll process meant existing employee data needed to be input into the right format to accommodate new systems. This could have been carried out by the charities previous supplier, however Moorepay offered a very competitive price and were best placed to handle this as well. In order to check the payroll data had been input correctly, the two payroll systems were run side-by-side for the first month of the contract with Moorepay to ensure nothing went wrong.
Russell says: ”No mistakes were made in the first payroll, everything had been put into the system correctly by Moorepay and the whole process was hassle free. I was concerned with the timing of the handover as it was carried out half-way through the financial year but Moorepay assured me that this wouldn’t create any problems and that they could process a change over at any point in the financial year.”
