You’ve found the perfect company fit, hurrah! And a sure-fire way to annoy your new golden employee is to input their data wrong, only for them to miss their first payday.

You might laugh, but it’s been known to happen! Follow these five top tips on data for a smooth new starter transition.

Get the right information

It may seem pretty self-explanatory, but getting the right information from the get-go is crucial to a smooth start. Depending on how your payroll is set-up (managed or software only) you more often than not will be responsible for collecting this data from your new starter.

It’s important to understand how this data is to be input into your payroll system, or when you provider requires this information to make a payroll run. It’s always worth checking exactly what they need to set-up a new starter before speaking to your new recruit, that will save the back and forth.

Opt for employee self-service

Ever have your new starter switch address within their first month? Or maybe ditch their old bank for a new one right before payday? Correcting, changing and amending personal details is time consuming for everyone involved, and the more people involved in the process, the greater the chance of error.

The quickest way to ensure that details are up-to-date and changed for employees is to allow them to make those small changes for themselves. A good employee self-service across payroll will allow employees to quickly change their own details, touch free from you, and your provider.

Check information before payday

The slight slip of a key and suddenly account numbers and sort codes are all out of sync. It’s important to have the right checks in place when it comes to new starters. Whether that’s a managed system, smart software, or an admin check, ensure data is valid before a new starters first payday is very important.

Opt for integrated payroll & HR

If you’re looking to save time, and a distinct lack of entering the same data across multiple systems, then it pays to opt for an integrated payroll and HR software. This will save your department precious time in the long run. It will also reduce the likelihood of human error when duplicating data across two different systems.

Communicate with your new starter

When your new starter begins in the month will impact when they get paid. For example, if they start 2 days before payday it’s unlikely that they will be set up in your payroll system to meet the deadline. However, the most important thing to remember is to always communicate changes to paydays or missed paydays to your new starters.
